Measure every hotel before we write to it, then reach the Director of Sales & Marketing on the group-sales side.
A 90 day POC built for one thing: prove HERA can be sold outbound to regional hotel chains in Germany, Spain and the UAE, without spending the €250K grant on a full-scale launch first. Two channels available (Email and LinkedIn), both timed by the qualification agent that turns HotelResBot’s own thesis (“hotels answer inbound too slowly”) into a measured fact for every named account. Reinforced by a mapped intent audience of ~5,850 hotel decision-makers already following your 16 direct competitors on LinkedIn.
What you get.
POC scope, 90 days, prepayment monthly. One engine, three components.
Before we write to a hotel, we send it a real booking enquiry, time the answer, and grade the response (no reply, autoresponder only, useful answer). That measurement becomes the opening line. HotelResBot’s thesis stops being an argument and becomes a fact about their own inbox.
Spain and UAE run on cold email. Germany runs LinkedIn-led because UWG makes cold email a real fines risk. Both channels reach the Director of Sales & Marketing on the group-sales side (the seat that actually owns the outcome) and the reservations desk contact we identified through the measurement itself.
Positive replies routed to Brendan (or nominated reply owner) same day. Meetings booked into the calendar of the seat who takes them. Measurement report, verified contact directory, sending domains, sequences: all yours at day 90, contract or no contract.
TAM and addressable market.
HotelResBot’s investor deck names the total-market ceiling. Below it, the reachable slice this POC can honestly work.
| Layer | Size | Source |
|---|---|---|
| Global TAM (inbound-request response, hospitality) | €2B | HotelResBot’s own investor deck, attributed to Brendan on the call (15 Sep 2026). |
| SAM (regional hotel chains, 10 to 500 properties, top 3 geos) | est. 400 to 800 chains | Directional estimate. We build the exact number in week 1 by scraping the national hotel-chain registers in DE, ES, UAE. |
| SOM for this POC (chains that respond to a measurement + a message inside 90 days) | est. 150 to 300 chains | Working assumption: ~35 to 40% of SAM enters the sequence in the POC window based on comparable mid-market widenet run rates. |
| Contactable seats in the POC (2 to 3 seats per chain) | est. 400 to 900 people | Director of Sales & Marketing + head of central reservations + call-center lead where the chain runs one. Enriched, verified, ready to write to. |
| Intent audience (LinkedIn followers of 16 direct competitors) | 116,959 followers → ~5,850 ICP | Combined follower base across 16 mapped direct competitors. At a 5% ICP conversion (people at target-size hotel chains, in the seats we care about), that is ~5,850 named individuals already educated on the category and actively researching it. This is a parallel signal source that plugs straight into the qualification agent (section 04). |
Direct competitors mapped for intent-audience scrape
All 19 competitors identified; 16 have a public LinkedIn presence we can scrape followers from. AngebotsWerk, COM25, and Greetio have no public LinkedIn and drop out of the intent-audience calculation.

By geo (directional): Germany runs largest by chain count (est. ~200 to 400 chains in the 10-500 band), Spain second (est. ~150 to 250), UAE smallest by count (est. ~50 to 100) but highest ACV weight because the market is dominated by branded chains with real IT budgets. Exact per-geo TAM is delivered as the first artifact of week 1, before any send goes out.
What this POC does not attempt: individual-hotel enterprise brands (Hilton, Marriott, Accor at the corporate level). Those are 12+ month cycles and not right for a 90 day POC. They stay a phase-2 conversation once regional-chain motion is proven.
Who we write to.
Regional hotel chains, 10 to 500 properties, in DE, ES, UAE. Group-sales side prioritised because it has a named decision-maker; individual-reservations side layered where a call-center lead can be identified.
| Segment | Seats we write to | Priority |
|---|---|---|
| Regional chains with a Group Sales team 10 to 500 properties, MICE-capable, DACH + ES + UAE. |
Director of Sales & Marketing, Group Sales Manager, MICE Sales Manager | Lead |
| Chains organised into a Reservation Call Center Centralised inbound, DACH + ES. |
Head of Contact Center, VP Customer Experience, Head of Central Reservations | Lead |
| Chains on Opera Cloud / Apaleo / other open-API PMS Cloud stack, low integration friction. |
Chief Commercial Officer, Head of Digital / Distribution, CIO | Parallel |
| Chains on transaction-fee booking engines Sabre SynXis, Amadeus TravelClick (fee model, not commission). |
Director of Distribution, Revenue Director, CCO | Parallel |
| Pre-opening and re-flagging properties Announced opening dates inside 12 months, DE first. |
Pre-opening GM, Director of Sales & Marketing (pre-opening) | Widen |
| Look-alikes of your reference wall Eurostars, Leonardo, mk hotels, GSH profile. |
Same seats as the segment each look-alike sits in | Widen |
Why Group Sales leads: from the call, this is the one place in the hotel where there is a named, budget-holding buyer for a reservation-response tool (the Director of Sales & Marketing). Individual-reservations pain is diffuse ("reservations manager has zero influence" - your words). We reach individual-reservations only where the chain runs a call center that gives us a real head of that function.
The qualification agent.
The wedge. Every hotel on the list is measured before we write a single message. The measurement becomes the opening line and the ranking of who gets contacted first.
Individual reservations: room-availability request with specific dates, guest count, corporate rate ask. Group sales: a full brief (date range, room block, meeting-space requirement, catering) so the response we grade is a real proposal, not a "call me back."
The exact hours-to-first-human-answer, logged. Response classified: no reply, autoresponder only, useful answer. Useful answers scored on completeness (price + availability + policies + attachments + attractiveness), same scorecard Brendan uses internally with speed at 50%.
Signature parsing, reply-to inspection, and where present a follow-up email that identifies who actually owns the enquiry. Result: a verified contact on the individual-reservations side, without guessing from LinkedIn org charts.
Every account gets one of 12 measured triggers (no human answered, autoresponder only, no owner, useful answer but slow, card details asked by email, etc.). Accounts with the sharpest triggers get written to first, with an opening line that quotes their own inbox back to them.
Not "your response time might be an issue." Instead "we sent a booking enquiry on [date], no human answered in 72 hours." Different message per measured trigger, so a hotel that never answered gets a different open from a hotel that answered slowly with a shitty PDF.
Every hotel we contacted, what they sent back, how long it took, and the seat that owns it. The Director of Sales & Marketing can take this to their own GM as internal evidence. This is why a hot lead lands warmer than a cold one, and a cold lead still gets a file worth keeping.
Why this is different from what everyone else sends: most agencies open with "we help hotels answer faster." That claim asks the reader to trust it. This opens with the reader’s own inbox. Not a claim, a fact, with a timestamp.
The 16 mapped competitors (section 02) give us ~5,850 named individuals already following someone in this exact category on LinkedIn. That is a live intent signal. Anyone on the target seat list who also follows Asksuite, HiJiffy, Duve, or any of the other 13 gets marked "actively researching" and jumps the queue on the LinkedIn channel, with an opening line that references the category conversation they are already having.
Two more audiences we build.
Beyond the qualification agent (section 04) and the competitor-follower intent audience (section 02), two more high-value audiences get built inside the POC. Both plug into the same engine, the same reply queue, and the same weekly report.
Audience A · The innovator audience
You named the "Crossing the Chasm" moment on the call: your early adopters are proven, you need the early majority. That crossing does not happen by writing to random hotels. It happens by finding the hoteliers who publicly signal they are open to new tech and willing to experiment, and reaching them first. Six ways to find them, none of them obvious.
HITEC, HSMAI, Direct Booking Summit, Skift Global Forum, HTNG events. Every speaker is a self-selected industry-innovation participant. Small pool (est. 500 to 800 people worldwide), extremely high conviction. Cross-referenced against your target-chain list.
A PMS migration is the biggest tech-stack change a hotel makes. Anyone who did it in the last 12 months has proven change appetite and is actively rebuilding their stack. Announced via LinkedIn, partner press, and integration marketplaces. These are the buyers most likely to say "yes, add another modern tool."
The hotel proved itself an innovator publicly. The people in DSM and reservations roles at those hotels either won the award or have the mandate to keep the innovation reputation going. Award lists are public and scrapeable. Small, high-conviction cohort.
LinkedIn search for exact-phrase posts from hoteliers in the last 90 days. If a Director of Sales & Marketing at a target chain is publicly writing about AI in hospitality, they are already sold on the category and just choosing a vendor. This is the warmest cold audience possible.
Follower is passive. Engager is active. Filtered from the 116,959-follower pool (section 02), we extract the ~5 to 10% who publicly interact. This is the sharpest slice of the competitor intent audience: category-active, publicly visible, in-market right now.
No Vacancy, Modern Hotelier, Hospitality Meets, Skift Take. Anyone who has gone on record on a podcast or written a bylined piece is a public-facing innovator. Small pool, extremely high signal. Same treatment as the speakers cohort: cross-referenced against your target list, prioritized in the sequence.
How the innovator audience plugs in: every account and person we identify through these six signals gets flagged in the CRM with the specific signal, and jumps the send queue on both channels. The opening line references the signal directly ("saw your talk at HITEC 2025" / "noticed you just moved to Apaleo" / "your comment on Asksuite’s post about direct booking"). No generic pitch. Included in the base package, no add-on charge.
Audience B · Event attendees
Per-event scrape. Prioritized by geo fit, buyer-persona fit, and whether the networking platform is scrapeable. Priced per event (see section 06), not per attendee. The list you keep either way.
| Event | When | Geo fit | Why it fits HotelResBot | Scrape method | Priority |
|---|---|---|---|---|---|
| ITB Berlin World’s largest travel trade show. Brendan named it on the call. |
March, annual | DE (all 3 geos attend) | DSM + group-sales leaders concentrate here. Networking tool includes 1:1 meeting requests. | Networking platform scrape (public exhibitor + attendee tool), LinkedIn cross-ref | Tier 1 |
| IMEX Frankfurt MICE and group-sales focused. Directly relevant to your newer product. |
May, annual | DE + broader EU | MICE = group sales. Almost every attendee is a Director of Sales & Marketing or reports to one. | MyIMEX platform scrape + Cvent Attendee Hub if applicable | Tier 1 |
| Arabian Travel Market (ATM Dubai) The single largest hospitality event in your #3 focus geo. |
April/May, annual | UAE | Every UAE hotel chain sends senior sales/commercial leadership. Match to the €250K grant runway. | Reed networking platform scrape, exhibitor + attendee filters | Tier 1 |
| FITUR Madrid Spain’s tentpole travel event. |
January, annual | ES + LatAm | Every Spanish hotel chain in the target 10-500 property band attends. Ideal for the ES email channel. | Ifema exhibitor directory scrape + LinkedIn cross-ref of attendee lists | Tier 1 |
| HITEC (EMEA + Global) The definitive hospitality-tech event. |
Annual, varies | Global | Where the innovator audience lives. Every attendee is by definition a tech-forward hotelier. | HFTP directory scrape (members-only, joinable), award-nominee lists | Tier 1 |
| The Hotel Show Dubai | Autumn, annual | UAE | Broader hospitality (F&B, design, tech). UAE reach beyond ATM. | Reed exhibitor + attendee scrape | Tier 2 |
| WTM London Big event, wrong persona per Brendan. |
November, annual | Global | Large but attended by OTA/tour-operator sales teams, not DSMs. Low priority per your own call feedback. | Reed networking platform (functional but noisy) | Tier 3 |
| Direct Booking Summit Small, senior, exact persona. |
Multiple/year | Global | Every attendee is fighting the OTA-vs-direct battle. HotelResBot’s response-speed pitch is a natural fit here. | Public attendee/speaker list scrape | Tier 2 |
| HSMAI Region Europe Conference | Spring, annual | EU | Sales & Marketing focused. Directly the DSM audience you sell to. | HSMAI member directory + event attendee list | Tier 2 |
| DACH Hotelforum / private senior gatherings | Various | DE | Small, invitation-only, senior. Not scrapeable at scale; asset here is intro-driven. | Public speaker + host lists, LinkedIn cross-ref | Tier 3 |
How event support works commercially: pick any Tier 1 event you plan to attend. Two weeks before, we run the full pre-event motion (attendee scrape, enrichment, ICP scoring against the 8 segments, personalized reach-out on email + LinkedIn, meetings pre-booked). Post-event follow-up within 72 hours of close. €2,000 per event, billed on confirmation of the event date. See section 06 for pricing.
Package and pricing.
Two core channels, one optional add-on. Base is monthly prepayment, invoiced at the start of each month. Buy either channel on its own, or take both and save €2,000 a month. Prices are per month, POC term is 90 days.
| Package | Monthly | What it covers |
|---|---|---|
| Email only Spain + UAE (cold-email safe geos). |
€4,000 | Dedicated sending infrastructure, warmed and monitored. Verified lists per segment. Copy timed to the qualification-agent trigger. Reply routing to Brendan same day. Weekly deliverability + performance report. |
| LinkedIn only Germany (UWG-safe channel for DACH). |
€4,000 | Managed LinkedIn accounts, warmup and orchestration. Same qualification-agent triggers, same seats. Connection request timed to the measurement, short message after. Reply routing same day. |
| Email + LinkedIn bundle All 3 geos (ES + UAE on email, DE on LinkedIn). Recommended. |
€6,000 | Save €2,000/mo. Same qualification agent, same reply queue, coordinated timing across both channels. This is the option that covers your three focus countries in one engagement. |
Optional add-on
| Add-on | Price | What it delivers |
|---|---|---|
| Event support WTM London (Nov), ITB Berlin (Mar), on demand. |
€2,000 / event | Full pre-event motion. Attendee list scraped from the networking tool, ICP-scored against the 8 segments above, personalised reach-out on email + LinkedIn in the two weeks before, meetings pre-booked into your calendar. Post-event follow-up within 72 hours. |
Prepayment monthly. Base invoiced at the start of each month, work runs after the invoice is paid. Success-fee-free (no % on downstream deals; this is a straight POC retainer).
Meeting floor guarantee. A floor of 5 booked meetings by end of month 2. If we miss, month 3 is free while we rebuild what is not working. Month 2 invoices normally on prepay; the guarantee cost lands on month 3.
Post-POC: the €4K / €4K / €6K bundle stays priced to this same scope as long as the scope holds. No time-based jump at day 90. Adding channels, signals, or volume reprices transparently and you decide.
What each channel includes.
Detail behind the price. Every card is what €4,000/mo actually buys.
Infra: dedicated sending domains, mailboxes warmed to safely handle POC volume, SPF/DKIM/DMARC set correctly, weekly deliverability scan.
List: regional chains 10 to 500 properties in ES and UAE, group-sales + call-center seats enriched. Every row shows the qualification-agent measurement (response time, response type, verified reservations seat).
Copy: one variant per measured trigger. A hotel that never answered gets a different opening line from a hotel that answered slowly with an incomplete quote.
Reply flow: positives routed to Brendan same day. Meeting requests to your calendar.
Reporting: weekly. Deliverability + replies + meetings + which trigger drove each.
Why not email in DE: UWG makes B2B cold email a real fines risk without documented legitimate interest. LinkedIn is the compliant path to the same Director of Sales & Marketing seats.
Accounts: managed HotelResBot LinkedIn seats, warmed and orchestrated to send human-paced volume.
Sequences: connection request timed to the qualification-agent measurement, short message after. Same one-ask-per-touch rule as email.
Targeting: same three geo-specific segments, adjusted for the seats that respond well on LinkedIn (DSM, VP Sales, Chief Commercial Officer).
Reply flow: replies routed same day.
Reporting: weekly. Connections + replies + meetings + which trigger drove each.
Why the bundle: your three focus countries split cleanly across the two channels (ES and UAE on email, DE on LinkedIn). Running both channels off one qualification agent means the same measurement drives every touch, and one weekly report covers all three geos.
Shared list: one master list per segment, one measurement feed, one reply queue.
Coordinated timing: a Spanish chain gets an email on Tuesday, a German chain gets a LinkedIn connect on Wednesday, both anchored to the same qualification event.
Save €2,000/mo vs. buying the two separately.
The 90 day POC plan.
Build week 1, measure week 2 to 3, send from week 3, decide at end of month 2.
Exact TAM per geo delivered as the first artifact. Qualification agent stood up (booking enquiry sender, response classifier, timing logger). Sending domains + LinkedIn accounts bought and warmed in parallel. Copy drafted per measured trigger for your sign-off.
Qualification agent runs against the full list. Every hotel graded. Sends go live on the first cohort of measured accounts (whichever triggers fire hardest first). Positive replies route to you same day. Week-4 review of which triggers converted, which seats replied.
Volume rebalanced by which triggers and which geos are answering. If event support was added, WTM London pre-outreach runs in this window. End of month 2 = meeting-floor check. Hit 5 meetings → month 3 invoices normally. Miss 5 → month 3 is free.
Engine at rhythm on the winning triggers and geos. Day 85: POC report delivered with full measurement dataset, contact directory, meeting attribution, and a scale-up recommendation. You decide to continue month to month, expand scope, or stop. Every asset stays yours regardless.
Sign and start.
Five answers and we start the list build the same week.
| Decision | What we need from you |
|---|---|
| 01 · Package | Email only (€4,000/mo), LinkedIn only (€4,000/mo), or Both bundle (€6,000/mo, saves €2K). Recommended: bundle for full 3-geo coverage. |
| 02 · Event support | Add-on. WTM London (Nov) and/or ITB Berlin (Mar) at €2,000/event. Tick either, both, or neither. |
| 03 · Focus segment | Group Sales side leads (DSM as buyer, as recommended), or override with a specific segment you want first. Individual reservations layered where a call-center lead exists. |
| 04 · Reply owner | Brendan for all replies, or split (e.g. Brendan for group sales, someone else for individual). We route same day, every day. |
| 05 · Start date | Prepayment invoice for month 1 raised on your confirmed start date. Work begins the day the invoice is paid. |
Countersign: reply "confirmed" with the five answers. Order form and month 1 invoice back same day.
Looking forward to working together. Let me know if this sounds good so I can send a draft agreement.
